What affects your payroll outsourcing cost

Two firms with 40 employees can have very different payrolls. These are the things we ask about before we quote, so the price you agree is the price you pay.

  • Number of employees

The fee is per employee per month, so headcount is the starting point. Tell us your usual range and how much it moves with projects.

  • How your people are paid

A payroll of monthly-rated office staff is simpler than one with daily-rated and hourly-rated workers, where every rate of pay for overtime, rest days and public holidays has to be worked out separately.

  • Overtime and rest day work

Heavy overtime means more hours to check, including against the 72-hour monthly limit. If you want to see what that looks like for one worker, try our overtime pay calculator.

  • Foreign workers and levy

Work permit payroll adds declared salary checks, levy reconciliation and IR21 tax clearance when a foreign employee leaves.

  • Sites, projects and reports

Labour cost split by site or project is part of the Contractor plan. The number of sites you need reported affects the work involved. Our construction payroll page shows how this works for building firms.

  • How your time records arrive

A clean spreadsheet export takes less time than photos of handwritten time cards. Both are fine. We'll ask what you use today.

  • Starting mid-year

We bring across year-to-date pay and CPF figures so bonuses and IR8A come out right. Your quote states whether a one-off setup charge applies.

What in-house payroll really costs

The fee is easy to compare. The cost of running payroll yourself is harder to see until something goes wrong.

  • Staff time every monthCollecting time cards, calculating overtime, answering pay queries and preparing CPF takes days, not hours, once you have site workers.
  • Keeping up with rule changesCPF rates changed on 1 January 2026 and change again on 1 January 2027 for employees above 55 to 65. Someone has to update every payroll in time.
  • Cover when your payroll person is awaySalaries are still due within 7 days of the end of the salary period, whoever is on leave.
  • The cost of errorsLate CPF attracts interest from the CPF Board, and underpaid overtime or rest day pay can lead to salary claims and MOM inspections.
  • Software that still needs an operatorPayroll software helps, but someone still has to enter the hours, apply the rules and check the results.

Questions employers ask us

Something else on your mind? Call 6970 5539 and ask.

How is the monthly price worked out?

You pay a fixed fee per employee each month. The rate depends on your plan and what your payroll involves, such as daily-rated workers, overtime volume, levy tracking and cost reports by site.

Which plan do we need if we employ work permit holders?

The Contractor plan, or Complete if you also want leave, claims and HR admin. Essentials does not include work permit payroll or levy tracking. See work permit payroll for what is involved.

Is there a charge to switch to you mid-year?

Your quote states whether a one-off setup charge applies for bringing across year-to-date figures.

What happens if our headcount changes from month to month?

Your quote and service agreement set out how changes in headcount are billed, so there are no surprises on your invoice.

Do you charge to fix mistakes?

Not when the error is ours. We correct it in the next run at no charge and help you put right any CPF or IRAS submission.

Do salaries pass through your account?

No. We prepare a bank payment file and you release it from your own account. We never collect or hold salary funds.
